Studio Policies

At flowhouse, we want every visit to feel seamless, safe, and genuinely good. These Studio Policies exist to protect our community — clients, instructors, and staff alike. By booking a class, purchasing a membership or package, or entering our studio, you agree to the policies below.
Note: These policies are not a substitute for the liability waiver and membership agreement you will sign at your first studio visit. That document contains additional binding provisions specific to participation in physical activity at flowhouse.
1. Membership Terms
Membership Plans
flowhouse will offer a variety of membership plans upon opening in Summer 2026, including founding member options. Full membership pricing and plan details will be made available at launch. Founding Circle members who secure a founding membership prior to opening will have their founding-member rate honored in accordance with the specific terms communicated at the time of enrollment.
Billing and Auto-Renewal
Memberships are billed on a recurring basis (monthly or as otherwise specified in your plan), automatically charged to the payment method on file. Your membership will auto-renew at the end of each billing period unless you cancel it in accordance with the cancellation policy below. You are responsible for ensuring your payment information remains current. flowhouse will notify you of any changes to membership pricing or billing terms in advance.
Founding-Member Pricing Lock
Founding members who join before our Summer 2026 opening will receive pricing details and rate-lock terms at the time of their enrollment. Specific founding-member benefits and guarantees will be communicated directly and confirmed in writing at sign-up.
Membership Freezes and Holds
We understand that life happens. Members may request a temporary freeze (hold) on their membership for qualifying reasons, such as injury, illness, travel, or other extenuating circumstances. Freeze requests must be submitted to info@flowhouserb.com in advance. Freeze availability, duration limits, and any applicable hold fees will be detailed in your membership agreement. During a freeze, your billing is paused and classes are not accessible.
Membership Cancellation
To cancel your membership, please submit a written cancellation request to info@flowhouserb.com at least 30 days before your next billing date. Your membership will remain active through the end of the current paid billing period. Cancellations requested less than 30 days before the next billing date may result in one additional billing cycle charge. Memberships are non-transferable.
Refund Policy
Membership fees are generally non-refundable once a billing cycle has begun. Unused class credits within a membership period are forfeited upon cancellation unless otherwise required by law. Class package purchases are non-refundable but may be transferred to account credit at flowhouse's discretion in exceptional circumstances. If you believe you have been charged in error, please contact us promptly at info@flowhouserb.com.
2. Class Booking Policies
How to Book
All classes must be reserved in advance through our booking platform, Mariana Tek, accessible via our website at flowhouserb.com or the Mariana Tek app. Walk-ins may be accommodated on a space-available basis, but we strongly recommend booking ahead, especially for popular class times.
Class Cancellation Policy
We ask that you cancel any class reservation you cannot attend so that waitlisted clients may take your spot. Cancellations must be made at least 12 hours before the scheduled class start time to avoid a late-cancellation fee.
- On-time cancellation (12+ hours before class): Your credit or reservation is returned to your account at no charge.
- Late cancellation (less than 12 hours before class): A late-cancellation fee will be charged to your account. The specific fee amount will be displayed in your Mariana Tek account and membership agreement.
- No-show (failure to attend without canceling): A no-show fee will be charged to your account. No-show fees are typically higher than late-cancellation fees. The specific amount will be detailed in your membership agreement.
Exceptions to the late-cancel and no-show policy may be granted at flowhouse's sole discretion in documented emergency situations. Please contact us at info@flowhouserb.com within 24 hours of the missed class.
Waitlist Policy
If your preferred class is full, you may join the waitlist through Mariana Tek. If a spot opens up within a set window before class (typically 12 hours, subject to class-specific settings), you will be automatically enrolled and notified by email and/or text message (if you have opted in to SMS). Please ensure your notifications are enabled. Once enrolled from the waitlist, the standard cancellation policy applies.
Class Credits and Expiration
Class credits purchased as part of a package or membership have expiration terms specified at the time of purchase. Expired credits are generally non-refundable and non-extendable except at flowhouse's discretion.
3. Class Etiquette
Reformer pilates and barre are equipment-based practices that require focus, respect, and community care. We ask all clients to observe the following:
- Grip socks are required for all reformer pilates and barre classes, for hygiene and safety. If you forget yours, grip socks are available for purchase at the studio.
- Arrive early. Please arrive at least 5–10 minutes before your class. Late arrivals (more than 5 minutes after class start) may be turned away out of respect for other clients and to preserve the integrity of the class warm-up. In that case, a late-cancel fee may apply.
- Silence your phone. Please set your phone to silent before entering the studio. Phone use during class disrupts the experience for everyone.
- Personal belongings should be stored in the designated cubbies or lockers. Do not bring valuables to the reformer or barre area.
- Clean your equipment. We provide cleaning supplies; please wipe down your reformer and any props after use.
- Communicate with your instructor. Always let your instructor know at the start of class about any injuries, recent surgeries, or pregnancy. Your safety is our priority.
- Respect the space and each other. flowhouse is a welcoming, inclusive environment. Disrespectful or disruptive behavior will not be tolerated and may result in removal from class without refund.
4. Health, Safety, and Liability Waiver Acknowledgment
Participation in reformer pilates, barre, and related physical fitness activities involves inherent risks of physical injury. By attending classes or entering our studio, you acknowledge the following:
- You assume the inherent risks of physical activity, including the risk of injury, illness, or property damage.
- You represent that you are in adequate physical condition to participate and that participation will not pose an undue risk to your health.
- You agree to consult a licensed physician before beginning any new exercise program, particularly if you have pre-existing medical conditions, recent injuries, chronic illness, or are pregnant.
- You agree to disclose to your instructor any injuries, physical limitations, pregnancy, or medical conditions that may affect your safe participation prior to each class.
- You understand that flowhouse instructors are fitness professionals and not licensed medical practitioners. Nothing communicated by our instructors constitutes medical advice.
A full liability waiver and membership agreement must be signed at or before your first studio visit. This acknowledgment section is a summary only and is not a binding waiver of legal rights. The signed waiver governs in all cases.
5. Photography, Videography, and Likeness Release
flowhouse is a vibrant, community-driven studio, and we love celebrating our members and the work that happens here. By entering the studio, attending classes, events, or other flowhouse activities, you acknowledge and agree to the following:
You consent to being photographed and/or filmed by flowhouse or our authorized representatives in connection with studio activities, classes, events, and marketing initiatives. You grant flowhouse a perpetual, royalty-free, worldwide, sublicensable license to use your image, likeness, voice, and appearance in:
- Social media content (Instagram, Facebook, TikTok, and other platforms).
- Website content and digital marketing campaigns.
- Advertising and promotional materials, in print and digital formats.
- Studio signage, newsletters, and other studio communications.
- Future promotional campaigns, including but not limited to grand opening, seasonal, and anniversary campaigns.
flowhouse will not use your likeness in a manner that is defamatory, misleading, or clearly objectionable.
Opt-Out: If you prefer that your image or likeness not be used in flowhouse marketing or promotional materials, please submit a written opt-out request to info@flowhouserb.com with the subject line "Likeness Opt-Out." We will honor your request on a going-forward basis; we cannot guarantee removal of content already published prior to receipt of your request.
6. Amendments to Studio Policies
flowhouse reserves the right to update these Studio Policies from time to time. When we make changes, we will update the "Last updated" date at the top of this page and, where appropriate, notify members by email. Your continued use of our services after an update constitutes your acceptance of the revised policies.
